Yes! You can do a bulk import of events directly into your calendar from a CSV (comma-separated values) file. CSV files can be exported by nearly all spreadsheet applications, such as Excel, Numbers and Google Sheets.
In order for the export to work, your spreadsheet and exported CSV file should contain the following column names:
Date_Time | Data in this column must be in YYYY-MM-DD HH:MM:SS format. Example: 2018-05-15 20:30:00 |
Alt_Time | (Optional) Alternate time display. Example: 8:30 PM |
EventName | Name of the event. |
Venue | Name of the venue where this event will take place. |
Address | (Optional) Venue address. |
City | (Optional) Venue city. |
State | (Optional) Venue state or region. |
Country | (Optional) Venue country. |
Description | (Optional) Detailed description of event. |
Program | (Optional) The program for this event. |
URL | (Optional) A website address related to event. Example: http://www.kultureshock.net |
Contact | (Optional) A contact name for this event. |
Artist_ID | (Optional, Agency Sites Only) A list of artist IDs related to this event (more info below). |
CSV File Requirements
- The first line/row of the CSV file must contain the column names shown above.
- Columns marked "Optional" above are not required in the CSV file, but all other columns are required for the import to work.
- Column names are not case-sensitive, so date_time, DATE_TIME, and Date_Time are all okay, they just have to be spelled exactly the same way.
- Additional columns in your CSV file are okay, they and all the data in that column will simply be ignored during the import.
- All dates in the Date_Time column must be in this format: YYYY-MM-DD HH:MM:SS - Example: 2018-05-15 20:30:00 (May 5, 2018 at 8:30PM). Note that there is a single space between the date and time parts.
Artist_ID Column
The Artist_ID column can be used by AGENCY sites only. This column can contain a comma-separated list of Artist IDs that each event is related to. You can use the alphanumeric Key ID you assigned to each artist, for example: emersonquartet, asmutter, pzukerman. Or, you can use the numeric ID for each artist, for example: 488, 1401, 847. Either will work. Each valid artist ID in the list will be associated with the imported calendar event. If no artist IDs are provided, the imported event will be an agency-wide calendar event.
How To Import
Once you have your CSV file ready, here are the steps to import it:
- Click on the Calendar tab in your Control Center, then click on the Import button.
- Step 1: Upload CSV File. Click on the Browse button (Choose File in Chrome and Safari), select a CSV file on your computer, then click on the Upload button.
- Step 2: Verify Import Data. If there were no problems with the uploaded CSV file, you will see a list of all the data that will be imported (or not imported) into your calendar. Events that cannot be imported will be listed under the "Rejected Data" heading near the bottom of the page. Under the heading "Ready to Import" you'll see all the data that can be imported. Please verify that the information is correct, then click on the Import button.
- Step 3: Import Finished. If the import was successful, you'll see an abbreviated list of all the events that were imported into your calendar, along with any records that could not be imported for any reason.
Reasons for Rejected Records or Missing Data
- The format of the date in the Date_Time column is incorrect, or the date is invalid.
- Column names do not appear in the first row of the CSV file.
- One or more of the required column names is missing or mis-spelled. Your CSV file must at minimum contain the following column names and data: Date_Time, EventName, Venue
- Data in one of the required columns may be missing from a row. For example, a row missing a date/time or event name will be ignored and not imported into your calendar.
